The Role
Reporting to the Operations Manager, this role will see you lead three direct reports within the Office Services team.
Your key responsibilities will include, but are not limited to:
- Overseeing mail room, print room, facilities and equipment operations, ensuring all areas are functional, organised and well maintained
- Managing inventory, office services supplies and vendor relationships, while ensuring budget compliance
- Supervising and mentoring Office Services Clerks, including training, performance guidance and quality assurance to deliver efficient and accurate services
- Overseeing records management processes, including safe custody, VOI and archiving, in line with firm policies and compliance standards
- Coordinating new starter requirements such as inductions, desk set-up and security passes, as well as supporting large events and overflow tasks in collaboration with Client Services
- Promoting cyber security awareness across office services, embedding best practice and safeguarding firm and client information
About You
The successful applicant will have demonstrated experience in office services or mailroom operations within a professional services environment, with proven supervisory and team management capability.
- Strong organisational skills, with the ability to prioritise competing demands, meet deadlines and maintain high attention to detail
- Excellent communication and interpersonal skills, with a collaborative and client-focused approach
- Proficiency in Microsoft Office including Outlook, Word, Excel and Teams, along with familiarity with records or archiving processes
- Flexibility, adaptability and self-motivation, combined with a high level of professionalism, confidentiality and accountability
