About the role
As a PA/Team Administrator, you will provide essential administrative support to team members across all levels, enhancing the overall efficiency of operations.
Key responsibilities
- Provide day-to-day administrative support to team members across all levels, as well as to business support teams.
- Manage expense reimbursements, including reconciliation against credit card statements and follow up on outstanding charges.
- Maintain and update systems by creating new accounts, projects and contact records as requested.
- Support the team in maintaining resourcing data, including hours, planning schedules, skills and certifications.
- Process monthly billing and invoicing accurately and meeting billing deadlines.
- Coordinate and manage diaries and inboxes, scheduling appointments, meetings and travel arrangements.
- Book and manage travel for team members.
- Assist in organising internal and external events, including client functions, firm-wide initiatives and team events.
- Enter and submit timesheets on behalf of team members when required.
- Schedule meetings and assist team with arrangements including meeting room bookings, catering arrangements, visitor management and preparation of materials.
- Assist with the preparation of documents, including correspondence, presentations, reports.
- Perform general office duties as needed, including kitchen upkeep, ordering supplies and assisting with ad hoc facilities requests.
- Assist business operations teams and committees with additional projects and tasks as needed.
Skills and experience
- Completion of relevant studies in business administration (desired).
- Experience in an administration or secretarial/PA role.
- Ability to plan, organise and prioritise work, self and team and to handle multiple and conflicting demands.
- Intermediate to advanced Microsoft office skills, including Microsoft Word and PowerPoint. Intermediate Microsoft Excel Skills
- Exposure to Salesforce and Certinia advantageous
- High level of attention to detail.
- Strong communication and interpersonal skills and ability to build good working relationships.
- Ability to exercise initiative and work both independently and cooperatively, adopting a proactive and flexible approach to work.
- Maintain confidentiality and handle sensitive matters diplomatically and discreetly.
