About the Role
This is a Team Assistant opportunity where you'll become the central support person for a busy operations team. Working closely with managers, technicians and external stakeholders, you'll help keep the business running smoothly through exceptional coordination, diary management and administrative support. While scheduling technicians is an important part of the role, your focus will be on providing proactive assistance to the broader team, managing competing priorities, coordinating workflows and ensuring deadlines are met. You'll be the person everyone relies on to stay organised, solve problems and keep day-to-day operations on track.
Key Responsibilities
  • Coordinate technician schedules for installations and service works across Australia, managing complex logistics and competing priorities
  • Support a team of four managers with diary management, meeting coordination and administrative assistance
  • Liaise with facilities managers, technicians and internal stakeholders to ensure projects and maintenance activities are delivered efficiently
  • Maintain and manage a detailed, colour-coded scheduling system to track projects, deadlines and technician availability
  • Identify potential scheduling conflicts and operational challenges, implementing practical solutions to keep work flowing smoothly
  • Act as a key point of communication, fostering strong relationships across the business and with external stakeholders.
Skills & Experience
  • Previous experience in scheduling, coordination, team administration or operations support within a corporate environment
  • Strong Microsoft 365 skills, particularly within Outlook, Excel and Word
  • Exceptional organisational skills with the ability to juggle multiple priorities and meet deadlines
  • Confident communicator with proven experience managing a variety of stakeholders
  • Solutions-focused mindset with the ability to anticipate issues and take initiative.
